Mechanical Contracts manager

An excellent opportunity exists for a Mechanical Contracts Manager to join a leading M&E Contractor in Dublin. 

Your main responsibility will be to manage contracts on behalf of the company and ensure all management and administration of the works are completed to the program deadline and to a high standard ensuring a satisfied client and an acceptable profit margin for the Company.

Reporting to the Contracts Director, you will carry out the following:

Pre contract commencement

 

  • Discussion and interaction with the design and estimating team in relation to innovative and commercial approaches to project tendering and execution.
  • Attendance at tender handover meeting with estimating team to ensure a detailed understanding of contract file, pricing methodology and commercial targets for the contract.
  • Selection of project team, including negotiation and agreement of subcontractor rates and conditions of contract.
  • Preparation, agreement and submission of contract programme in conjunction with Contracts Director and the client.
  • Active negotiation and purchasing of specialist equipment and major items with key suppliers and in conjunction with appropriate personnel, including specifying cost saving initiatives, agreeing terms and delivery / payment dates in line with contract buying targets and specification.
  • Prepare spend projections for contract programme to enable accurate cash flow forecasting.
  • Co-ordinate and manage pre-start Health and Safety audit and Environmental audit.
  • Hold pre-start meeting with contract team including subcontractors regarding contract performance requirements, key project milestones, on site health, safety, quality and environmental issues.
  • Set up Contract file and agree effective communication and paperwork systems in line with the management systems including procedure for agreeing valuations and to ensure all extras, variations or delays are recorded / claimed as appropriate.

 

Contract Management

 

  • Effective daily management of the contract including daily / weekly allocation and supervision of key tasks in line with the Contract Programme.
  • Oversee daily / weekly programming of the contract and organisation of appropriate plant, labour and materials to ensure cost effective utilisation of all resources.
  • Develop and maintain effective relationships with the client, key suppliers and subcontractors.
  • Effective progress monitoring of the contract to ensure it is running with programme and to budget, highlighting, recording and claiming where appropriate for delays, variations or problems.
  • Agree valuations with client / suppliers on an agreed timescale to ensure effective cash flow management and accurate WIP.
  • Ongoing liaison with key suppliers, the buying team and contractors to ensure timely supply, delivery and installation of key items and base materials.
  • Preparation of contract progress information and cost review meetings for regular in-house meetings with Directors and Senior staff.
  • Management of subcontract costs, including authorisation of sub contractor payments.
  • Ensure a continued emphasis on Company management systems including promoting high standards of safety and quality with all employees and subcontractors on site.
  • Review and regularly asses your contract team to ensure all site personnel, including subcontractors are working to a high standard and take remedial action if appropriate.
  • Co-ordinate preparation and handover of operation / maintenance manuals to Clients.

 

Contact Completion / Handover

  • Completion and submission of final account and all associated outstanding accounts.
  • Carry out detailed contract review for Senior Management team including actual -v- budget; problems that arose; lessons to be learnt for future tendering and contract execution.
  • Assess performance of subcontractors for future work.
  • Completion of health and safety file and maintenance / operation manuals.
  • Assessment of supplier performance / installation for future work.
  • Ensure all site administration is completed, filed and/or submitted in line with Company procedures.

 

General

  • Ongoing mentoring and supervision of your contracts team to encourage commercial and technical development.
  • Work away from home, managing projects as dictated by management.
  • Challenge conventional methods of practise in the interest of the Company, encouraging your team to be innovative, commercial and pro-active in delivering Company profit.
  • Regularly assess the performance of your team, highlighting and dealing with any issues including under performance or additional training requirements.
  • Any other duties as deemed by the Contracts Director to be within the scope of your skills.
